Privacy Policy

This page explains the information Santora collects, how we use it, and how we handle uploaded claim materials.

What We Collect

  • Account information such as names, email addresses, organization details, and login activity.
  • Customer-submitted claim materials, including estimate PDFs, supporting photos, certificates, scene documentation, and review output generated inside the product.
  • Operational data such as upload events, OCR status, review status, and support conversations.

How We Use Information

  • To provide claim packet intake, OCR, AI-assisted peer review, exports, and workflow features inside the product.
  • To operate, secure, troubleshoot, and improve the Santora platform.
  • To respond to contact requests, schedule demos, onboard customers, and provide support.

Sensitive Claim Materials

Santora may process sensitive claim documentation, including remediation photos, bodily fluid or bio-cleaning materials, death-related documentation, and other files a customer uploads as part of a claim packet. Customers are responsible for making sure they have the right to upload these materials and for limiting uploads to what is necessary for claim review.

How Claim Materials Are Handled

  • Uploaded claim materials are stored in protected application storage and used to generate review output for the customer that uploaded them.
  • Access is limited to authorized users within the relevant customer account, platform personnel involved in support or operations, and service providers used to deliver the product.
  • AI-generated output is decision support only. Final approval, payment, coverage, and claim handling decisions remain with the customer.

Retention and Deletion

Santora retains customer data and uploaded claim materials for as long as needed to provide the service, comply with customer instructions, resolve incidents, maintain backup integrity, and satisfy legal or contractual obligations. Retention schedules may be customized by contract, onboarding terms, or written customer instructions.

Customers may request deletion or export of their data through their account team or through the contact page. Santora may keep limited operational records when reasonably necessary for security, fraud prevention, accounting, or legal compliance.

Sharing

Santora does not sell customer data. We may share data with service providers that help us host the application, authenticate users, process OCR and AI workloads, send email, or support the service, subject to appropriate contractual protections.
